ACCOUNTS PAYABLE COORDINATOR
The Accounts Payable (A/P) Coordinator is directly responsible for executing and upgrading the accounts payable process for Rowland Seeds Inc., including performing data entry and related duties in disbursing non-payroll accounts payables. This includes posting transactions to GL accounts, maintaining ledgers and credit balances, investigating, and resolving account irregularities, confirming transactions are qualified expenditures of the company, and issuing payment. This role ensures the timely and accurate processing of payment transactions related to Rowland Seeds Inc. and associated companies. This position involves diplomatic interaction to obtain required billing information, utilization of payment discounts and terms as appropriate, and completing credit card reconciliations monthly. Integrity and strong attention to detail are crucial for this role.
You will work closely with the Rowland Farms office team, including the Business Manager/Controller as well as Location Managers and other Rowland Farms staff. This position is located at the Taber, Alberta Head Office. Core job duties will include:
• Prepare payments to third parties on a timely basis including vendors and land rentals.
• Audit purchase requests for materials, supplies, equipment, and other commodities; verifies that invoices received are valid and are charged to the proper accounts, and that complete and accurate source documents are provided for each payment transaction.
• Review bills to the company for potential errors and/or discrepancies and investigate and resolve billing discrepancies or misapplied cash transactions.
• Complete credit card reconciliations each month.
• Ensure the strict confidentiality and privacy of financial records as they relate to the organization and its business partners.
• Identify proactive procurement strategies and opportunities which can either lower costs or otherwise enhance the business performance of Rowland Seeds Inc., and work with Managers to capitalize on those opportunities.
• Gather information required for IFTA.
• Oversee family expenditures and reconcile family due to/from accounts on a quarterly basis with owner.
• Maintain fixed asset register for depreciation schedule & insurance purposes.
• Submit credit applications for new vendors.
• Administration related to fuel vendors including fuel cards, and fuel allowances and issuing/tracking staff fuel cards & usage.
• Order and manage devices/phones for workers
• Track Carbon tax from Natural Gas accounts
• Cross train other office staff in job functions of Accounts Payable Coordinator.
• Provide full coverage for Receptionist/Administrative Assistant including lunch breaks, days off, etc.
• Other office duties as needed.
Five years progressively responsible experience in an office environment, including three years working directly in an Account Payable/Procurement function, is a base requirement for this role. Background and knowledge in an agriculture setting is an asset.
• Strong knowledge of payment regulations and fair credit practices.
• Must possess a high level of moral judgment for handling confidential information and monetary transactions.
• Experience in gathering data, compiling the proper information, and reconciling bank accounts.
• Basic knowledge of accounting systems, budgets, and internal controls.
• Advanced proficiency with QuickBooks accounting software and spreadsheet programs and applications.
• Effective attention to detail and a high degree of accuracy.
• Strong work ethic and positive team attitude, with the ability to contribute to team building with mature office attitude.
• Sound analytical thinking, planning, prioritization, and execution skills.
• Able to effectively communicate both verbally and in writing.
• Strong problem identification and problem resolution skills.

Proficiency with Quickbooks desktop, MS Office Suite including MS Word and MS Excel is required.
Overtime as required during busy, peak seasons.
